Our tax practice is growing and we are seeking a detail-oriented and organized Administrative Assistant to support our team and ensure the smooth operation of our office.
Role Description
This is a full-time on-site role in Aiken, SC. The Administrative Assistant will be responsible for greeting clients, phone support, scheduling meetings, document management, data entry, preparing outgoing mail, and other administrative support as needed. The Administrative Assistant is expected to work collaboratively with others and demonstrate initiative, attention to details, and organizational skills in their day-to-day operations.
Job Responsibilities:
· Greet clients and visitors, providing excellent customer service.
· Answer and direct phone calls, emails, and correspondence.
· Schedule and manage appointments, meetings, and deadlines.
· Maintain and organize electronic and paper filing systems.
· Assist with assembling tax engagement packages and tax returns.
· Handle data entry, scanning, record-keeping, and document management.
· Assist with billing, invoicing, and payment processing.
· Other operational and administrative tasks.
· Prepare outgoing mail and maintain general flow of correspondence.
· Open and distribute mail.
· Maintain confidentiality and security of client records and sensitive information.
Qualifications & Skills:
· High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
· Previous administrative or office support experience, preferably in an accounting or financial setting.
· Strong organizational and time-management skills.
· Excellent verbal and written communication abilities.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and proven ability to learn other software and technology.
· Ability to handle confidential information with discretion.
· Detail-oriented with a high degree of accuracy.
· Professional demeanor and customer service skills.
· Ability to work independently and as part of a team.
