Position Overview
Baby2Baby seeks a motivated, detail-oriented Development Database Manager to join the development team. This position is ideal for a professional with expertise in operations and systems associated with running an expanding non-profit fundraising program. The role is intended for someone who can confidently own, manage, and expand best practices for Baby2Baby’s CRM/donor database (Little Green Light).
The Development Database Manager takes ownership of the development database and oversees all gift processing, data management, donor segmentation and other donor services that support the daily operational needs and fundraising initiatives of Baby2Baby. This position ensures accurate gift processing, manages revenue reconciliation, provides regular development reporting and timely donor acknowledgements, oversees data integrity, provides suggestions and guidance on database structure and processes, and lends essential administrative and operational support to further Baby2Baby’s fundraising program.
The Development Database Manager will work Monday – Friday at Baby2Baby’s offices (5830 W. Jefferson Blvd. Los Angeles, CA 90016) with occasional weekends or nights.
Duties and Responsibilities
Database Management & Gift Processing
Manages all things pertaining to data across the development department, tracks and implements best practices in the field, and trains department staff on data processing platforms and protocol.
Maintains accuracy and integrity of the donor database by ensuring all donor records are current, accurate and meet organizational standards and best practices.
Ensures all gifts are processed, coded, and entered into the database in a timely, accurate manner.
Processes and manages paperwork for matching gifts, tribute gifts, and wire/stock/securities transfers.
Liaises with donors when appropriate to ensure smooth gift processing.
Generates, processes, and sends all donor acknowledgement letters in a timely manner.
Manages pledge tracking, reminders, and follow-up.
Serves as staff liaison between development and finance teams, ensuring proper coding, accurate delivery of information across departments, and weekly/monthly/annual reporting and reconciliation.
In partnership with the Director of Development, manages the donor segmentation process and makes recommendations around process and tracking.
Works with senior development staff to continue to adapt, strengthen and provide suggestions on all aspects of the database - structure, best practices, reporting, and processes.
Oversees junior development staff’s database work (if/as applicable).
Reporting & Additional Departmental Support
Generates fundraising reports, queries, and donor/prospect lists.
Creates reports for board members, leadership groups, Co-CEOs and other key stakeholders.
Manages other online fundraising and prospect research tools (Classy, iWave, GiveSmart, etc.) as needed; ensures their information is recorded accurately in the donor database.
Maintains quality standards for documentation and continuously assesses and provides recommendations around data tracking improvement opportunities, database integrations with other tools/platforms, and donor analytics.
Participates in all-team strategy sessions and takes lead on operationalizing anything related to donor data and management.
Supports development events and programs such as Gala, distributions and volunteer sessions, as needed. Development is a lean, tight-knit team and asks for all hands-on deck!
Required Qualifications
Bachelor’s Degree in a related field.
Minimum of 5 years’ nonprofit office experience, preferably in fundraising and development.
Minimum of 4 years’ experience with CRMs or donor management database systems (required).
At least 2 years of experience managing a CRM/donor database.
At least 1 year of staff/department management experience.
Impeccable attention to detail and accuracy; appreciation for working with data and process.
Ability to work in a fast-paced environment, organizing and prioritizing multiple tasks and assignments.
Stellar communication and interpersonal skills.
Confidence as a decision maker and team leader.
Proven ability to identify, establish and implement both short-term and long-term processes.
Can work both independently and as an active member of a high-performing team.
Dependable, motivated to learn and grow, and the ability to take initiative.
Demonstrated ability to write professional and compelling donor correspondences.
Excellent computer skills - Excel/Google Sheets expertise (preferred).
Demonstrated commitment and interest in Baby2Baby’s mission.
