Job Description

A respected and growing commercial litigation law firm located in San Jose is seeking an experienced Litigation Legal Secretary to join their team of dedicated professionals.

Role Summary:

The Litigation Legal Secretary will provide comprehensive administrative and legal support to attorneys while seamlessly managing litigation-related tasks. The ideal candidate will possess outstanding attention to detail, exceptional organizational skills, and a deep understanding of litigation processes — particularly in the realm of commercial litigation.

Key Responsibilities:

  • Attorney Support : Assist attorneys with day-to-day administrative needs, including calendar management, scheduling meetings, and drafting correspondence.
  • Document Management : Create, format, edit, proofread, and organize legal documents such as pleadings, motions, briefs, and discovery materials in compliance with local, state, and federal court rules.
  • Electronic Filing : Coordinate e-filing processes for state and federal courts, ensuring timely and accurate submissions.
  • Case Oversight : Organize and maintain case files, monitor deadlines, prepare case timelines, and ensure meticulous tracking of litigation progress and correspondence.
  • Client and Third-Party Coordination : Communicate professionally with clients, opposing counsel, and third parties to schedule depositions, mediations, court appearances, and other key meetings.
  • Legal Research and Support : Assist attorneys with collecting case-related data, reviewing relevant statutes or regulations, and preparing exhibits for hearings or trials.

Qualifications and Skills:

  • Experience : A minimum of 3-5 years as a legal secretary or legal assistant within a litigation practice, with expertise in civil and/or commercial litigation preferred.
  • Technical Proficiency : Advanced knowledge of Microsoft Office Suite and familiarity with document management systems and legal research tools; experience using eDiscovery platforms is a plus.
  • Legal Knowledge : Thorough understanding of litigation processes, local court rules, and relevant commercial litigation procedures.
  • Communication Skills : Strong verbal and written communication abilities for drafting correspondence, coordinating between parties, and collaborating with attorneys and clients.
  • Organizational Excellence : Proven ability to prioritize and manage multiple tasks in high-pressure situations while meeting strict deadlines.
  • Professionalism : Demonstrates discretion, confidentiality, and professionalism in handling sensitive information and possessing a client-focused demeanor.
