Job Title: Onboarding Coordinator – Licensing & Registration Focus

About &Partners: At &Partners, we believe in providing high-touch support to our advisors and internal teams from day one. As a firm dedicated to operational excellence, we’re expanding our Licensing & Registration team to include an Onboarding Coordinator who will focus on ensuring all onboarding elements are handled with precision and care.

About the Role: As our Onboarding Coordinator, you’ll serve as a key player in managing all aspects of the onboarding lifecycle—from initial setup and background checks to RegEd workflows, licensing and registration, and system audits. You’ll help new hires and advisor practices get up and running seamlessly while ensuring we meet all compliance and regulatory requirements.

Key Responsibilities:

  • Lead and coordinate all onboarding activities for new hires and advisor practices
  • Track the completion of required onboarding activities such as compensation finalization, compliance paperwork, and HR documentation
  • Initiate and review background checks and fingerprinting; escalate any results requiring further investigation
  • Draft and send Advisor Practice Offer Letters and HR instruction emails
  • Manage the accurate and timely filing of Form U4s, U5s, and amendments
  • Serve as a key user and support resource for RegEd, including setup, maintenance, and user updates
  • Conduct quality control checks to ensure licensing and registration data is accurately reflected in Skience, Wealthscape, and Innova
  • Ensure compliance with firm policies and industry regulations through internal audits and process reviews
  • Support registration events, including Continuing Education (CE) and Annual Renewals
  • Assist with offboarding activities and ensure proper licensing closure for terminated or retired personnel
  • Collaborate with cross-functional teams (HR, Entitlements, Transition) to ensure all onboarding steps are completed accurately and on time

What We’re Looking For:

  • 2–4 years of experience in licensing and registration, onboarding, or operations within the financial services industry
  • Familiarity with FINRA, SEC, and state regulatory filing requirements
  • Experience with systems such as RegEd, Skience, Innova, and Wealthscape preferred
  • High attention to detail and strong organizational skills
  • Proven ability to manage timelines, work cross-functionally, and communicate effectively
  • A proactive, problem-solving mindset with a commitment to excellent service
