Practice Manager Location Old Lyme, CT :

We are a fast-growing, upscale medical aesthetics practice recognized for offering advanced aesthetic treatments in a luxurious, patient-focused setting. Our skilled team of providers specializes in injectables, laser therapies, skincare, wellness, regenerative medicine, and hormone replacement. We're seeking a dynamic, experienced Practice Manager to oversee daily operations and help uphold our commitment to exceptional care.

PRACTICE MANAGER

Roles & Responsibilities

Operations Management

  • Oversee daily operations to ensure a smooth, efficient, and professional environment.
  • Develop and implement SOPs for front desk, patient intake, and treatment protocols.
  • Maintain compliance with state and federal regulations, including HIPAA and OSHA.
  • Manage inventory of medical and retail supplies; monitor reorders and minimize waste.
  • Develop and manage budgets to ensure financial health of the practice while maximizing resources in all areas of the business.

Team Leadership & HR

  • Hire, train, and supervise front desk staff, aestheticians, nurses, and other team members.
  • Conduct regular performance reviews, coaching, and disciplinary action when needed.
  • Create staff schedules to optimize coverage and ensure productivity during peak hours.
  • Foster a team-oriented, patient-first culture with a focus on excellence and aesthetics.

Client Experience & Retention

  • Ensure every patient has an exceptional experience from check-in to post-treatment follow-up.
  • Handle escalated patient concerns with professionalism and resolve conflicts promptly.
  • Implement patient retention strategies such as loyalty programs and membership models.
  • Review client feedback and make improvements to enhance satisfaction.

Marketing & Sales Support

  • Collaborate with marketing to execute promotions, events, email campaigns, and social media content.
  • Plan and execute patient events and manage ROI.
  • Monitor sales performance and work with the team to hit monthly revenue goals.
  • Maintain awareness of industry trends and competitor activity to keep services relevant.
  • Support cross-selling and up-selling initiatives with training and team goal alignment.

Financial Management

  • Monitor daily revenue, monthly reports, and financial KPIs (e.g., conversion rates, rebooking rates, etc).
  • Assist with budgeting, forecasting, and cost control.
  • Work with finance/accounting to reconcile billing, deposits, and payroll.
  • Optimize profitability through efficient use of resources and strategic pricing input.

Technology & EMR Oversight

  • Manage the use of EMR systems (PatientNow Preferred).
  • Ensure accurate documentation, scheduling, and billing through digital systems.
  • Manage CRM system as applicable.
  • Troubleshoot software issues and coordinate with IT when necessary.

Education & Experience

  • 3 years' experience in a similar role minimum
  • Strong Marketing acumen / experience (required)
  • EMR experience (preferred)
  • Bachelor's degree in a health-related field preferred.
